Description
CSR JOB DESCRIPTIONProvide general office support for the veterinary practice. The Customer Service
Representative (CSR) is responsible for a variety of clerical tasks including greeting
clients/patients, appointment scheduling, preparing medical records, answering and
directing incoming phone calls, presenting and processing financial options, and
processing and balancing financial payments. Strong customer service skills are crucial
as the CSR is the initial contact for customers. They provide the first and last impression of each client’s visit to our hospital.
EDUCATION AND EXPERIENCE
- Preferred: 2yrs of previous veterinary office experience
- Required: High School graduate or equivalent
Specific Duties
- Maintaining a professional, cheerful, and helpful attitude when interacting with clients.
- Contact clients to confirm appointments or making sure they have been contacted and reminded of appointments, providing clients with any information or instructions they will need prior to their appointment (fasting/covid). Making sure all documents are received from Referring Vets. If it’s an anesthesiologist appt-making sure that, that doctor is notified with documentation of patients.
- Welcome clients and patients to the hospital, check in patients using process defined in CSR manual, and provide for client and patient comfort while in the reception area. Monitor the length of time clients are waiting, and appropriate handle situations where there is an extended wait.
- Use veterinary management software to schedule appointments. Schedule appointments in accordance with hospital guidelines according to the type of visit.
- Use computer system to accurately enter and retrieve records and reports, enter fees and charges, and maintain the database. Generate call back reports, appointment lists, and other reports using computer system as directed.
- Prepare client records according to established protocols in advance of clients’ arrival. Complete required forms, such as new patient form, check in sheet, and obtain all necessary information.
- Accept payments from clients. Accurately process cash, checks, and charge card payments.
- Assist other team members in keeping public areas clean and odor-free. Minimum
KNOWLEDGE AND SKILLS
- Proficient in Microsoft Office software (i.e. Word, Excel, PowerPoint, Outlook)
- Must be able to learn various veterinary software applications
- Proficient operation of various office equipment (copier, scanner, fax machine)
- Effectively manage multi-line phone system
- Effective interpersonal communication skills
- Effective in multi-tasking (prioritizing and accomplishing tasks)
- Effectively handle stressful situations
- Maintain a positive work environment
- Excellent verbal and written English communication skills
- Excellent organizational skills
- The ability to work collectively with team members
- Know basic veterinary terminology
- Communicate in a clear, concise, understandable manner
PHYSICAL DUTIES AND RESPONSIBILITIES
- Frequently is required to Lift and/or carry objects up to 40 pounds from floor level
and above
- The ability to work in a stationary position at a computer for long periods of time
- The ability to stand, walk, stoop, bend, twist, kneel, crouch, and climb for long
periods of time
- Must be able to grasp, hold, and manipulate objects
- Possess vision abilities to detect, observe and assess, including close, distance,
- color, and peripheral vision, as well as depth perception and the ability to adjust
focus
- Potential for exposure to zoonotic diseases
REPORTING RELATIONSHIP
- Reports to: CSR Manager and/or Practice Manager

Compensation negotiable based on credentials and experience with a hourly pay range from $22-$29 hour. The actual rate offered will carefully consider a wide range of factors, including your skills, qualifications, experience, and location.
